This notice explains how EasyPrepForYou Ltd uses information from enquiries through its main UK website and from its prep and fulfilment services.
Who we are
EasyPrepForYou Ltd, registered in England and Wales (company number 14797369), is the controller of website enquiries, customer account administration, invoicing and our own business records. Our registered office is 67–69 Nathan Way, London, SE28 0BQ. For privacy questions or rights requests, email admin@easyprepforyou.co.uk.
Information we receive
Our UK quote form asks for your name and email address, and may receive your phone number and message. WPForms records can also include IP address, browser user-agent and a visitor identifier. Website infrastructure may record technical request and security data. If you become a customer, we may use business contact, account, quotation, invoice, stock, order and service-instruction information. For 3PL work, a merchant may provide its customers’ names, delivery and return addresses, contact details, order IDs and related fulfilment instructions.
Why we use it
- Enquiries and quotes: to respond and discuss requested services. Our basis is taking steps before a contract at your request, or our legitimate interest in responding to business enquiries.
- Customer services: to receive stock, prepare goods, store inventory, fulfil orders, handle returns, communicate about the service and invoice. Our basis is performance of a contract and, where relevant, legitimate interests in operating and protecting the service.
- Legal and accounting records: to meet applicable obligations.
- Site operation and security: to keep the website working, manage access, investigate abuse and maintain backups. Our basis is legitimate interests in a secure service, subject to applicable cookie rules.
- Future analytics or advertising: GA4, GTM and Meta Pixel are planned but were not active when this notice was prepared. Non-essential analytics and advertising technology will require the applicable choice before activation. Details will be updated when deployed.
Merchant customers’ recipients
When a merchant directs us to process its customers’ order and delivery information solely to provide agreed fulfilment services, the merchant is normally the controller and EasyPrepForYou Ltd acts as processor. The merchant is responsible for its customer-facing privacy information and lawful instructions. A separate Data Processing framework explains the contract terms to agree for those services. We remain a controller for our own business administration and legal obligations.
Where information is held and shared
UK website form entries are held in the relevant WordPress/WPForms database and notification emails go to our sales address. Our website hosting and email forwarding use Namecheap services, and the sales inbox has been routed to Google Gmail. We may share information with relevant couriers, sales platforms or service providers only where needed for an agreed service; the actual recipient depends on the merchant’s instructions and chosen route. We may share with professional advisers or authorities where required. Displaying a carrier or marketplace logo does not mean it receives every order’s data.
International access and transfers
We support sellers outside the UK and some service providers may operate internationally. The exact provider locations and any transfer safeguards are being reviewed. We will not describe a particular country or mechanism as applying to every customer where that has not been verified. Contact us for the current position for your service arrangement.
How long we keep information
Our retention policy is to keep website enquiries and UK WPForms entries for up to 12 months after the last contact, unless they become part of a customer relationship or are still needed for a dispute. Normal fulfilment and order records are kept for 24 months after completion unless a longer lawful need applies. Recipient operational details are normally kept for 12 months after completion, then deleted or anonymised where practical unless another lawful requirement applies. Accounting, tax and company records are kept for the applicable statutory period, which may be longer. These are policy periods; automated deletion has not yet been implemented for all systems, including existing emails, entries and backups.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or object to processing, and you may withdraw consent where consent is the basis. Some rights have exceptions, for example where records must be kept by law. Send requests to admin@easyprepforyou.co.uk. If your request concerns a merchant’s customer order, we may refer it to that merchant as controller and assist them. You may complain to the Information Commissioner’s Office.
